GTD® Fan Like Us?

We wanted to make GTD® even better. Here’s how.

We are fans of GTD - but, maybe like you, we wanted the GTD experience to be even easier. Here’s what we built. In a hurry? We summarized it all in a picture below.

1 - Turn Your Calendar into your Universal Inbox.

Traditionally in GTD, your Universal Inbox can be anywhere: on paper, in Evernote, in a ToDo list. We found one big problem with that. It is work to move items back and forth from your task list to your calendar. We wanted to save the shuffle. By having all your tasks on your calendar, time is saved from shuffling items back and forth. But if you put your to do list on your calendar - how do you save the work of rescheduling those tasks (i.e. the ripple rescheduling problem)? That’s the next step.

2 - Use an “AI CoPilot” to Reschedule your Calendar Tasks

Ordinarily if you put a task on your calendar but leave it unfinished - the work falls to you to reschedule it. We built an “AI CoPilot” that constantly scans through the tasks on your calendar (e.g. anything marked with the activation keyword “Task.it”) and reschedules them. The result is that the top task on your calendar - is always in the earliest open slot. But what about delegation that requires you to meet with someone? How do you save that time?

3 - Use a Team Auto-Scheduler or Booking Link

If you need to delegate a task that’s complex - often you have to send times to someone or look through their calendar to find time. We wanted to save that time too - so we created auto-scheduling in Task.it and booking links. If everyone on your team has a Task.it account, the AI will automatically find the slot. If you need a meeting with someone who doesn’t have Task.it, you can simply send them your task.it/yourname booking link and they can schedule with you - thus saving you from ever having to send times or look through someone else’s calendar.

By using all this above - you get the last benefit which is continuous triage. Typically with GTD, you allocate blocks of time to review your inbox. With an AI CoPilot, we aimed to make it possible for you to allocate smaller blocks of time because the calendar is the reminder. You always can see how loaded (or overloaded) your calendar is with tasks - and you no longer have to spend the time to set reminders.
